Undo, Redo and Clipboard Basics

Data work involves constant iteration and occasional mistakes. Knowing how to reverse accidental operations with Undo, repeat formatting commands with Redo, and harness the deep capabilities of Paste Special ensures you manipulate data quickly and safely.

The Safety Net: Undo and Redo

Undo (Ctrl + Z): Reverses your most recent action (e.g., cell deletion, typing mistake, column width resize). Excel maintains an undo stack of up to 100 previous actions!
Click the downward arrow next to the Undo button on the Quick Access Toolbar to review a chronological history list and reverse dozens of steps at once.
Redo (Ctrl + Y): Re-applies an action that was just reversed by Undo.
The "Repeat" Superpower (F4 / Ctrl + Y): When you have not recently clicked Undo, pressing F4 repeats your exact last action! For example, if you highlight a cell and make it yellow, you can click other cells and press F4 to paint them yellow instantly!

Important Warning

: Saving a workbook does NOT clear your Undo history in modern Excel, but running a VBA macro permanently purges the entire Undo stack! Always save a backup before executing unfamiliar macros.

Cut, Copy, and Standard Paste

Copy (Ctrl + C): Surrounds selected cells with animated green dashed lines (the "marching ants"). The data is copied to the clipboard.
Cut (Ctrl + X): Marks the cells to be moved to a new destination.
Paste (Ctrl + V): Drops copied data into the destination cell, overwriting previous content.
Cancel Selection (Esc): Press Esc to dismiss the green "marching ants" border and empty the active single clipboard selection.

Mastering Paste Special (`Ctrl + Alt + V`)

Standard paste (Ctrl + V) copies everything: formulas, borders, colors, and number formats. Frequently, however, you only want to paste specific attributes:

Copy your source cells with Ctrl + C.

Select destination cell, then press Ctrl + Alt + V (or right-click and choose Paste Special).

Select your desired paste behavior:

Values (V): The most critical command in Excel! Strips dynamic formulas and pastes only the static calculated results. Essential before sharing data or breaking external links.
Formulas (F): Pastes the underlying formulas without copying source colors or borders.
Formats (T): Copies only the visual formatting (colors, borders, fonts) without touching destination text.
Column Widths (W): Adjusts destination column widths to match the source columns perfectly.
Transpose (E): Rotates data orientation—swapping horizontal rows into vertical columns, or vertical columns into horizontal rows!
Mathematical Operations (Add, Subtract, Multiply, Divide): Performs instant bulk arithmetic on destination numbers without writing formulas (e.g., multiply 500 prices by 1.10 in one step!).
