Printing a spreadsheet is fundamentally different from printing a word document. Because a spreadsheet worksheet is potentially 1,048,576 rows deep and 1,024 columns wide, sending it to the printer without proper setup can waste hundreds of sheets of paper printing blank or truncated columns!
1. Setting a "Print Area" (प्रिंट एरिया सेट करना)
If you have a massive sheet of 500 rows but only need to print a small 10-row summary table for your manager:
- 1Highlight the specific cell range you want to print (e.g.
A1:E12). - 2In LibreOffice Calc: Click Format menu $\implies$ Print Ranges $\implies$ Define.
- 3In MS Excel: Click Page Layout Tab $\implies$ Print Area $\implies$ Set Print Area.
- 4Now, when you press
Ctrl + P, the printer will ONLY print that designated range, ignoring the rest of the sheet!
2. Page Orientation for Spreadsheets
Because financial tables typically contain numerous columns (e.g. Roll, Name, Subject1, Subject2, Subject3, Total, Grade, Result):
- Always switch Page Orientation from Portrait to Landscape (क्षैतिज / आड़ा)!
- Landscape orientation gives your table extra horizontal width, fitting all columns onto a single sheet of A4 paper.
3. Fitting Data onto a Single Page ("Fit to Page")
If your table is slightly wider than the paper, the last column might spill over onto a second page.
- In Calc: Go to Format $\implies$ Page Style $\implies$ Sheet tab $\implies$ Scaling Mode: "Fit print range(s) on number of pages" (Set to 1 page wide).
- The spreadsheet engine will automatically shrink the font size proportionally so all columns fit on one sheet cleanly!
4. Printing Gridlines (ग्रिडलाइन प्रिंट करना)
By default, the gray gridlines you see on your computer screen do not print on physical paper!
- To make cell borders visible on paper:
- Either apply formal black cell borders using the Borders tool on the Formatting Toolbar.
- Or go to Format $\implies$ Page Style $\implies$ Sheet Tab $\implies$ Check "Grid" under the Print section.
