Paragraph Alignment & Indents
Paragraph formatting governs the structural geometry of text blocks on your page. Properly aligned text and deliberate indents elevate documents from amateur drafts into publication-grade deliverables.

- 1Align Left (
Ctrl + L):
- Flushes text cleanly against the left margin, leaving a natural "ragged" right edge.
- The default standard for business letters, body paragraphs, and general documents.
- 1Center (
Ctrl + E):
- Centers each line evenly between the left and right margins.
- Best for document cover titles, poetry, invitations, and certificates.
- 1Align Right (
Ctrl + R):
- Flushes text flush against the right margin with a ragged left edge.
- Standard for sender addresses in formal letters, dates, and invoice signature blocks.
- 1Justify (
Ctrl + J):
- Adjusts spacing between words so that text sits flush against both the left and right margins, forming crisp, rectangular blocks.
- Standard for printed newspapers, books, academic journals, and annual reports.
Types of Paragraph Indentation
Indentation sets the distance of the paragraph from the page margins. Word features four types of indents controlled via the horizontal Ruler or the Paragraph dialog box:
- 1Left Indent: Moves the entire paragraph inward from the left margin.
- Shortcut: Ctrl + M increases left indent by 0.5 inches; Ctrl + Shift + M decreases it.
- 1Right Indent: Pulls the right boundary of the paragraph inward away from the right margin (great for block quotes).
- 2First Line Indent: Only the very first line of the paragraph is indented inward (typically 0.5"), while subsequent lines start flush at the left margin. Standard in novel manuscripts and essay publications.
- 3Hanging Indent (
Ctrl + T):
- The first line remains flush against the left margin, while all subsequent lines are indented inward by 0.5".
- Mandatory standard for academic bibliographies, APA / MLA works cited references, and legal citations!
- Shortcut: Ctrl + T creates a hanging indent; Ctrl + Shift + T removes it.
Ruler Sliders Anatomy
When looking at the horizontal ruler on the left margin, you will see three stacked shapes:
- Top Inverted Triangle: First Line Indent slider.
- Middle Triangle: Hanging Indent slider.
- Bottom Small Rectangle: Left Indent marker (moves both First Line and Hanging together).
