Printing an unconfigured spreadsheet frequently results in disastrous output: a table split down the middle across 14 pages, blank trailing pages, and orphaned single columns. Mastering the Print Area and Page Break Preview ensures your spreadsheets print cleanly.
Defining the Print Area
By default, Excel attempts to print every cell that contains data or formatting on the worksheet. To restrict printing strictly to a specific table:

Highlight the exact range of cells you want printed (e.g., A1:G35).

Go to Page Layout > Page Setup > Print Area > Set Print Area.

Excel draws a thin dashed border around the selection.

When you press Ctrl + P to print, Excel will ignore all other notes, scratch calculations, and side tables, printing only your designated Print Area!

To clear: Go to Page Layout > Print Area > Clear Print Area.
Page Break Preview Mode
The most powerful visual diagnostic tool for printing:

Go to View > Page Break Preview (or click the third view icon on the bottom status bar).

The display transforms:
Blue Dashed Lines: Represent automatic page breaks calculated by Excel based on paper size and margins.
Blue Solid Lines: Represent manual page breaks you have set, as well as the outer print boundary.
Watermark Text: Displays large transparent Page 1, Page 2 labels.

Adjusting Breaks: Click and drag any blue dashed line to the right or bottom. Excel automatically scales down the font and margins to fit your data into fewer pages!
Inserting & Removing Manual Page Breaks
If you want a specific department or fiscal quarter to always start at the top of a fresh printed page:

Click the cell that should begin the new page (e.g., cell A25).

Go to Page Layout > Page Setup > Breaks > Insert Page Break.

A solid blue line appears above Row 25.

To remove: Click the cell immediately below the break and select Breaks > Remove Page Break (or select Reset All Page Breaks).
