Using AutoFill and Flash Fill Efficiently
Data preparation and sequence generation often take hours when done manually. Excel provides two intelligent automation engines: AutoFill (for linear patterns, dates, and formula propagation) and Flash Fill (AI-driven pattern detection for text extraction, splitting, and reformatting).
1. Mastering AutoFill Techniques
The Fill Handle is the small green square in the bottom-right corner of the active cell selection:

AutoFill Capabilities & Modifiers:
- Double-Click AutoFill: If you have data in the adjacent left column, double-clicking the Fill Handle instantly copies formulas or sequences all the way to the bottom of the table without manual dragging.
- AutoFill Options Smart Tag: After dragging, click the small icon that appears to choose:
- Copy Cells: Duplicate the exact content.
- Fill Series: Increment numbers or dates (1, 2, 3... or Mon, Tue, Wed...).
- Fill Formatting Only: Copy only borders, colors, and number styles without overwriting existing data.
- Fill Without Formatting: Copy values/formulas while preserving the destination border and color schemes.
- Fill Days / Weekdays / Months / Years: Tailor date sequences to skip weekends automatically.
2. Flash Fill (Ctrl + E): Next-Gen Pattern Automation
Introduced to eliminate complex string manipulation formulas, Flash Fill automatically detects patterns you demonstrate and instantly applies them to remaining rows.

Example 1: Splitting Full Names into First & Last Names
- Column A contains: 'Johnathan Miller', 'Sarah Jenkins', 'Amit Kumar'
- In Column B, type: 'Johnathan'
- Press Ctrl + E (or click Data > Flash Fill).
- Excel immediately populates 'Sarah' and 'Amit' down the column!
Example 2: Extracting Domain Names from Email Addresses
- Column A: 'rahul.sharma@company.com'
- Column B: 'company.com'
- Press Ctrl + E: Extracts all remaining domains automatically.
Example 3: Reformatting Phone Numbers & Identifiers
- Column A: '9876543210'
- Column B: '(+91) 98765-43210'
- Press Ctrl + E: Applies the custom masking to the entire list.
3. AutoFill vs. Flash Fill: Key Differences

Flash Fill generates static text. If your source data changes frequently, consider dynamic text formulas like 'TEXTSPLIT', 'LEFT', or 'MID'. For one-off cleaning tasks, Flash Fill is dozens of times faster!
